Preparing Banner Artwork: A Practical Pre-Print Checklist

Check dimensions, image quality, text and the proof before your banner goes to print.

Start with the finished dimensions

Choose the banner size before finalizing the artwork. Keep the layout proportional to that size so it does not need to be stretched or cropped unexpectedly. If you are preparing a stand or an A-board, ask for the correct product layout and any hardware allowances first.

Use original files where possible

An original logo file or high-quality photograph is a better starting point than a screenshot or a small image copied from social media. Vector artwork can keep logos and text crisp when enlarged. A photograph still needs enough detail for the finished print size and intended viewing distance. Enlarging a small image does not restore detail that was never there.

Ask about file requirements

Before exporting, confirm the preferred file format, resolution, color setup, bleed and safe area with the print shop. These requirements depend on the product and finishing; one blanket setting is not right for every banner. Keep an editable copy of the artwork in case a change is needed.

Leave the edges clear

Avoid placing essential text, phone numbers or logos close to the outer edge. Hems, trimming, grommets and display hardware can affect that area. Ask for the required clearance instead of guessing a margin.

Check the message

Read every word, date, phone number and web address. Confirm that the main headline is easy to identify and that text has enough contrast against the background. If the sign includes a QR code, test the original code and consider whether viewers will be close enough to scan it; include a readable alternative when appropriate.

Review the proof carefully

Compare the proof with your requested dimensions and content. Check spelling, alignment, image quality and anything near the edges. On-screen colors are only a preview and may differ from the finished print. Request changes before approving anything you are not satisfied with.

Send what you have

Upload your artwork through the site or choose design help. Include your intended size, quantity, needed-by date and any concerns in the quote request. If you are unsure whether a file is suitable, call NorthWest Banners at (206) 354-2461 before spending time rebuilding it.
